Job Summary:
The Purchasing Agent is responsible for the strategic sourcing, procurement, and management of goods and services for the organization, including researching vendors, negotiating contracts, and managing supplier relationships. This role requires strong negotiation, analytical, and communication skills, as well as a deep understanding of supply chain principles. The Purchasing Agent will work closely with internal stakeholders to ensure timely delivery of high-quality goods and services while optimizing costs often by developing and implementing purchasing policies and procedures.

Duties / Responsibilities:
  • Develop and implement procurement strategies that align with organizational goals and objectives.
  • Conduct market research and identify potential suppliers, evaluating their capabilities, reliability, and pricing.
  • Coordinates with internal teams  to monitor inventory and determine supply needs
  • Negotiate contracts with suppliers, ensuring favorable terms and conditions.
  • Manage supplier relationships, including performance monitoring, issue resolution, and contract renewals.
  • Oversee the purchasing process from requisition to receipt, ensuring timely and accurate delivery of goods and services.
  • Monitor and control purchasing expenses, identifying cost-saving opportunities.
  • Maintain accurate records of all purchasing activities, including contracts, purchase orders, and invoices.
  • Collaborate with other departments, such as accounting, operations and operations, to ensure seamless procurement processes.
  • Responsible for the development and maintenance of Purchasing SOP’s including but not limited to the revision of Purchasing SOP’s due to leveraging technology or more efficient processes.
  • May be asked to perform other duties as assigned.

Education and Experience  
  • Bachelor’s degree in supply chain management, Business Administration, or a related field.
  • 3 + years of experience in purchasing or procurement.
  • Proven experience in contract negotiation and supplier management.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite1 (Word, Excel, PowerPoint).

Physical Requirements and Working Conditions
  • On-site and office-based position with very limited local travel to events primarily during office hours.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Continuous use of computers and other office equipment.
  • Ability to lift and carry items, such as boxes of materials or event supplies.
  • Must be able to lift up to 20 pounds at a time.
