Printing Lead Estimator
The Lead Estimator is responsible for developing precise cost estimates for printing and mailing projects, ensuring profitability and alignment with client specifications. This role involves analyzing customer requirements, job specifications, and production schedules to determine materials, labor, and equipment costs. The Lead Estimator collaborates closely with sales, production, and procurement teams to create competitive bids, manage vendor pricing, and maintain an accurate database of cost metrics.
Duties / Responsibilities:
- Based on specifications from Customers, CSS, and Sales Reps, an Estimator uses the company-owned cost estimating system to determine the most economical and effective methods and materials to produce the specifications provided.
- When pricing services requested that the company is not capable of providing, Estimator engages with and receives pricing information from outside service providers.
- Determine the production centers needed to produce the job as specified. Develop a plan to accommodate all facets of the job. Evaluate all methods available for producing the job and select the plan which produces the job in the most economical way.
- Serve as a team-member within the company production workflow by working with Sales Reps and CSS groups giving customers suggestions for lowering the price of a job.
- Work with external suppliers, merchant personnel, and service providers to obtain the best prices possible, as well as stay abreast of any changes in pricing or availability of most used products and services.
- Research and recommend cost savings potential to management.
- Advise and guide Sales and CSS teams, when necessary, as to specifications of a job (size or style of type, size of book, kind of binding etc.).
- Develop knowledge of inventory position, quantity stocked, usage, and reorder points. Stays abreast of products on hand and volumes to be able to make recommendations on a substitute and most cost-effective materials available.
- Performs other related duties as assigned.
- Strong ability to calculate costs for materials, labor, and production time for printing and mailing projects.
- In-depth understanding of printing techniques, mailing processes, paper types, finishing options, and postal regulations.
- Proficiency in estimating and production management software, spreadsheets, and ERP systems commonly used in the industry.
- Ability to interpret job specifications, production schedules, and client requirements to generate accurate cost estimates.
- Skilled at discussing project needs and solutions with clients, providing clear and professional communication.
- Strong communication skills to work with sales, production, and procurement teams to ensure accurate estimates and seamless project execution.
- Experience with cost accounting, all printing processes, ink, the competitive market and purchasing.
- Must know all printing equipment available, the respective running speeds for each piece, and the most efficient method for producing any possible job, including all types and grades of paper.
- Must have a working knowledge of paper pricing.
- Must be able to compute standard costs when the necessary figures are not available: determine the quantity of paper, ink, plates, and manpower required to complete each job.
- High school degree or equivalent required.
- Primarily office-based, with regular use of computers and estimating software.
- Occasional visits to production areas to review equipment, materials, or job processes.
- Standard business hours, with potential for overtime to meet project deadlines or address urgent client requests.
- Prolonged periods of sitting while working at a desk or computer.
- Occasional lifting of materials or samples (typically under 25 lbs.).
- Fast-paced environment with multiple concurrent projects and tight deadlines.
- Periods of high-pressure during project bidding cycles or when meeting customer demands.
- Exposure to noise and odors typical of a printing and mailing facility when visiting production areas.
- May require occasional travel to client sites or vendor locations for consultations or pricing negotiations.
