Payroll Administrator
Job Summary:
The Payroll Administrator will be responsible for the accurate and timely processing of bi-weekly payroll, encompassing both hourly and salaried staff. The Payroll Administrator is responsible for ensuring compliance with all applicable federal, state, and local payroll regulations. The ideal candidate will have extensive experience with Paylocity and a proven track record of managing complex payroll processes.
Note: This is position is fully onsite in Weston, FL. We will not be considering out-of-state or relocation candidates.
Duties / Responsibilities:
- Process bi-weekly payroll, ensuring accuracy in all aspects, including timecard hours, terminations, and earnings.
- Review and analyze payroll journals for accuracy and completeness.
- Utilize Paylocity for all payroll processing, reporting, and data management tasks.
- Import and process quarterly bonuses for production and exempt associates
- Review timecard readiness for payroll, proactively following up with managers and supervisors to resolve errors and ensure timely processing.
- Review, manage, and address incorrect, double usage, or negative time off balances impacting payroll.
- Develop and implement audit methods and procedures to ensure effective timecard processing and quality control.
- Partner with Human Resources to manage state law terminations and process manual checks.
- Enter and process all garnishments, child support orders, state levies, and other deductions.
- Register the company with new states for payroll (SUI, SITW) and update SUI percentages in Paylocity quarterly.
- Perform quality control checks on new hire entries in Paylocity for state tax, work state, SUI, hourly/exempt status, and driver policies.
- Answer employee inquiries regarding payroll deductions, discrepancies, and hour shortages.
- Regularly reconcile bank statements with company financial records, ensuring accuracy and resolving discrepancies in a timely manner
- Prepare and post journal entries to the general ledger, ensuring all transactions are properly recorded.
- Assist in month-end closing activities, including preparing necessary reports and ensuring all financial data is accurate and complete.
- Perform other related duties as assigned.
Required Skills and Competencies:
- Proficient in all aspects of bi-weekly payroll processing.
- Experience with processing bonuses, garnishments, and other deductions.
- Ability to review and reconcile timecards effectively.
- Strong attention to detail and accuracy in data entry and processing.
- Experience with managing and correcting time off balances.
- Thorough understanding of federal, state, and local payroll tax laws.
- Experience with registering companies for SUI and SITW.
- Ability to maintain compliance with all applicable multi-state payroll regulations.
- Developing and implementing audit procedures.
- Maintain the confidentiality of sensitive payroll information.
- Identify and resolves payroll issues effectively.
- Manage time effectively and meets deadlines.
- Communicate effectively with associates and stakeholders
- Excellent verbal and written communication skills.
- Proficiency in using payroll software and reporting tools.
- Proficient in Microsoft Office Suite.
- High school diploma or equivalent is required.
- Minimum 5 years of experience in payroll administration, with at least 3 in a multistate organization.
- Proven experience processing payroll for 500+ employees, including both hourly and salaried staff.
- Experience utilizing Paylocity to process payroll is highly preferred.
- Certified Payroll Professional (CPP) designation required
- General knowledge of accounting processes.
- Solid proficiency using MS Excel.
